An effective cover letter will highlight the information in your resume most relevant to a particular teaching position: your credentials and experience.
Follow the standard format for any business correspondence, beginning with your name and address in the letterhead or upper left-hand corner, the date, and the complete name and address of the principal or school district official in charge of hiring for this position.
Call the school or district if no specific name is given in the job listing. They'll tell you to whom you should address the letter.

Correspondence is more important than you realize and includes more than just cover letters. The letters you write may single you out of the crowd, but more importantly they communicate a level of effort. Exemplary correspondence will not only show that you are professional, organized, and thorough, but will also demonstrate your level of interest in an employer. An employer will be impressed by the effort you put into organizing your job search.
COVER LETTERS

Every resume that you submit should include a cover letter. An important function of the cover letter is to entice the reader to go on to your resume! If your cover letter does not sell you effectively, then your resume may never be read.

In most cases a cover letter is your introduction to a stranger. Keep that in mind as you are writing. If your letter is sloppy or has that pre-developed, non-personal look, that is what the reader is most likely to remember about you. A well thought-out cover letter allows your personality to come through - your confident manner, strong motivation, or conscientious attitude - something your resume cannot do.

A cover letter is a marketing tool, and like most marketing tools, it should concentrate on what the buyer will be receiving. Hence the letter should not be directed to what you, the seller, will receive. Tell the employer what you can contribute to the organization.

Personalized letters that clearly demonstrate your research effort into the company and industry will have the employer turning the page to examine your qualifications listed on your resume.

FORMAT & CONTENT

Your letter should be no more than one page. It should be printed on the same paper as your resume and both should be sent (no staples) in a matching envelope. Either traditional business format or block format is acceptable, but it should be consistent.
Although you may develop one basic cover letter, avoid sending any letter that seems like a form letter. Personalize each letter for the organization to which you are applying. Avoid using "Dear Sir/Madam" and "To Whom It May Concern." Take the time to find the name of the person who should receive your letter and resume. Employers recognize form letters very quickly. A well written letter can make a difference, especially in fields where writing skills are essential.

After an employer reads your letter there should be no doubt of your interest in the field and their organization. You also need to convey your personality and summarize your related skills and training. However, avoid reiterating everything on your resume. Point out the most relevant pieces of information and make them want to review your resume and meet you in person.
TYPES OF COVER LETTERS

There are two basic types of cover letters. The most common is the application letter where you are aware of an available position and wish to apply. If you are interested in working with an organization but are unsure if they have any current openings, you will need to write a prospecting letter. In a prospecting letter, you establish your interest and qualifications while inquiring about potential opportunities. The structure of these letters is similar and usually consists of three or four paragraphs.

FIRST PARAGRAPH
The first or introductory paragraph should briefly state the purpose of your letter. If you are applying for a particular position, identify both the position for which you are applying and the source from which you learned about it. If you are not aware of current openings, indicate the type of position you are seeking, and inquire about similar opportunities within the organization. This is also a good place to show off your knowledge about the organization and point out why you are interested in that particular organization.

SECOND (AND PERHAPS THIRD) PARAGRAPH

This is the main body of your letter. Take your knowledge of the organization and match it with your interests, skills, and experience. In an application letter, explain why/how your qualifications fit the position description. If you are inquiring about possible opportunities, concentrate on your qualifications for the position you desire as well as your interest in the field in general. In both types of letters, extract a couple of examples from your resume to support your statements. Use aspects of your internship experience, volunteer assignments, and class research that would be of interest to this company. Refer the reader to your resume, but do not repeat details from your resume.

Based on your experience and qualifications, briefly state what contribution(s) you can make to the company or what qualities you bring into the workplace, e.g., team player, specific research expertise. Also, provide a couple of specific reasons for your interest in working for this particular organization. Use reasons based in your research of the organization rather than simply stating that you want to work in the field.

FINAL PARAGRAPH

Finally, you will want to request an interview and indicate your availability. While many people state that they are looking forward to hearing from the organization, it is a good idea to suggest that you will contact him or her within one or two weeks to set up a time that is convenient. This allows you to be responsible for following up rather than leaving it to the employer.

Cover letters do not have to be difficult. Simply remember to tell your reader four things: who you are, why you are writing, what you have to offer the organization, and who will take the next step.

THANK YOU LETTERS/ LETTERS OF APPRECIATION

A thank you letter should be written within 24 hours of an initial interview, regardless of whether it was for a job or just to make contacts and gather information. Most recruiters say that they greatly appreciate thank you letters and that few candidates take the time to write a thank-you letter. Therefore, a good thank you letter will help you stand out.

This short letter should express your appreciation for the interview, reiterate your continued interest in the possibility of employment, and remind the employer of your background and skills. It is a good idea to mention some key point that was discussed during the interview and offer to provide any further information the employer may require. The best thank you letters show appreciation, conscientiousness, and availability to continue in the process.
If you have received an offer of employment by the time you write the thank you letter, you should confirm your receipt of the offer, indicate your appreciation and interest, and inform the employer of the date by which you will reply with your decision.

Sample Letters of Recommendation

Many jobs or graduate programs will require you to obtain recommendations from people in a position to vouch for your qualifications in the field. Often, the types of recommendations that are requested for graduate programs include one academic, one personal (outside of family), and one employment. References for jobs should be employers or those who can speak about your work ethic, character, and why you are a good candidate for a position.

How to Request a Letter of Recommendation


It is a good idea to acquire letters of recommendation from people such as your advisor or a professor at your college before you leave the school. Often, when you leave, it is harder to track down professors/advisors who have busy schedules.

When asking for a letter of recommendation:
 
  • Send a written request for the recommendation to each person being asked. Give them at least two-four weeks to complete.
  • Provide each with: 
    1. A copy of your resume and any other information you feel is relevant (job position, grad school/program you are applying to, etc.)
    2. A form or guidelines that outline exactly what is expected in the recommendation
    3. How many copies you are requesting (for future use)
    4. The deadline by which the recommendation must be received
    5. Correctly addressed, stamped enveloped
 
  • Send a THANK YOU NOTE to each person who takes the time to do this for you.
REFERENCES
For references (listed separately from your resume), ask permission first before listing previous employers and their contact information.  Contact information should include: NAME, ORGANIZATION, ADDRESS, PHONE NUMBER, & EMAIL.
  • You should list THREE references (no more, no less) when applying to a job. Make sure to include your contact information (similar to the top of your resume) on your "References" page.
  • When applying for a position, email or send the position description to your references to give them a "heads-up" that the employer may be contacting them. By having the job description, they can also speak for specifically as to why you are a good candidate for that particular position.
  • Again, make sure to THANK your references for offering to speak positively (hopefully!) on your behalf!

Tips for Writing an Effective Cover Letter

Purpose - a cover letter is always sent with your resume to introduce yourself to an employer and to communicate your interest in being considered for a position with that organization.  The cover letter should make note of some of your qualifications for the job and get the employer interested in reading your resume. Each cover letter you send will be different. The last paragraph of a cover letter should include a request for an interview.
Tips for Writing an Effective Cover Letter
  1. Send it to someone by name-get the name of the person who is in charge or the person who will be interviewing you.
  2. If you are unable to determine a name of the person in charge begin with:  Dear Sir or Madam:
  3. No mistakes---Make sure you get the person's name and title, organization name, and address correct!
  4. Be certain there are no spelling or grammatical errors before you send it!
  5. Be friendly and professional not pushy! The purpose of the letter is to request an interview not demand one!
  6. Use good-quality paper that matches your resume paper-and a matching envelope if possible.
  7. Be clear about your reason for writing---your goal is to get an interview, so make sure you ask for one!
  8. Do not be too wordy-managers are busy people and don't have time to read a letter that never seems to get to the point---Be brief and direct.
  9. Explain what is special about you-sell yourself.  Give highlights of your background that show why you are qualified for the position.

Cover Letter Do's and Don'ts

As you write your cover letter, keep the following points in mind:
  1. There are several purposes in having you attach a cover letter:
    • You might wish to apply to teach in Loudoun County and the Principal may be able to let someone know that you are available, based on the impression that the material made on him/her.
    • You will need to provide a cover letter when you complete an actual application; this provides good practice.
  2. Use this cover letter as an opportunity to "sell"  yourself to a prospective employer.  Explain how you would benefit and how the school could benefit from your presence.
  3. Make sure you look up the name and address (watch spelling) of the principal or whoever is supposed to receive the application material.  There should be no reason to address a letter "To whom it may concern" or "Dear Sir or Madam".  This is especially important when you send an actual application - be sure to use the correct name, title and address.
  4. Be sure some proofs all material that you submit in an application.
  5. Use proper format for the letter; please check out the samples that have been prepared for you.  For example:
    • Show your COMPLETE return address as well as phone number
    • There should be an inside address in the letter - in other words, the name of the person to receive the letter and his/her complete address.
    • Provide an appropriate salutation, i.e., Dr., Mrs., Ms. Mr. followed by the last name.
    • Offer an appropriate closing and be sure to include your signature
    • Generally in a business letter, the closing and your signature are flush with the left margin.
  6. Use a readable font - Arial and New Times Roman tend to be good choices; use appropriate size - 12 cpi is the best choice for the size. Watch indentations, tabs and margins and be consistent - if you indent the first line of one paragraph, you should indent the first line of every other paragraph.
  7. You do not need to repeat things that are referenced in your resume.
  8. Include all of the items requested in the ad or in the application; for example, if the ad asks you to have reference letters mailed directly to the superintendent's office, do not include them in your packet.
  9. When you complete the application, carefully review directions:
    • should it be typed or handwritten?
    • do the directions ask you to print?
    • does the form ask for first to list your first or last name?
  10. Do not leave anything blank on the application; if you do not have the information, so note; if it does not apply, write "NA". 
  11. You might want to make a copy of the application and use the copy as a "practice set" since the application that you mail should not contain any whiteouts, deletions, etc.

How to Write a Cover Letter and Resume

Although (perhaps because) the cover letter is such an important document, you may encounter several conflicting opinions as you how it should look (What is a Cover Letter?).  The following guidelines are my own suggestions.  Finally, however, you must decide how to write the letter that’s best for you.  Pass it along to as many different faculty as you trust, solicit their advice, be prepared for conflicting advice, be prepared to write and rewrite the letter many times, and understand that you’ll probably send out a letter that’s not entirely your own work.  There are three things to keep in mind as you write your letter:
  1. Make every word count.
  2. Keep hitting your audience with what makes you different without being overbearing or telling lies.
  3. Establish a voice.
Remember that the cover letter is the single most important document of your job search.  It’s the document that will get you an interview and an audience for your writing sample, and it’s the document to which the committee will return after you have interviewed.  A hastily written letter is unlikely to get attention, and since it’s time-consuming to apply for jobs, don’t bother unless you’re prepared to spend some time on your cover letter.  Start working on this letter during the summer before you begin your job search.  It can easily take several months to write, and you will need to pass it along to people many times before it’s complete.
Below, we will show you how to write a resume cover letter.
Paragraph one:  introduction.  Mention the job you’re applying for and where you saw it advertised.   Since your curriculum vitae will give information about your degree (where and when), dissertation director, fellowships, prizes and so on, you don’t need to mention them in your letter.  Doing so takes up valuable space in the letter and, more importantly, marks you as a graduate student.  Try to sound like a professional, someone who has already put graduate school behind you.  The selection committee will look at your vitae and see all these details in a more readable format.  The same goes for areas of specialization.
Paragraph two: dissertation.  Don’t bother with the director’s name; it’s in the vitae.  So is the list of publications that came out of the dissertation.  Don’t use the letter to recapitulate anything that’s in the vitae, except the title of the dissertation.  This paragraph is critical.  Try to convey the main idea of your project, the originality of your work, the writers you cover, and the approach you take.   One nice detail of a chapter will give readers something to hold onto.  You may also address future research in this or a later paragraph.
Paragraph three: teaching experience and philosophy.  Mention your philosophy, perhaps a brief example of how you put it to work, and special courses you would like to teach.
Paragraph four: final paragraph.  Tell what you have enclosed, whether a dossier is on its way, how the school should get one if it needs one, whether you will be available at MLA (which you should).  Don’t spend too much time thanking them.

The best thing for any electrical professional to do is to draw up a really impressive Electrical Resume. It’s important to highlight where possible all of your qualifications and for you to display clearly your professional experience. Of course, if you are going to supply your Resume to a prospective employer you need to provide this alongside an Electrical cover letter.

You can start off your Electrical cover letter by clarifying the position you would like to apply for, and where you saw the job advertised. You should also go on to say why you would like to work for this particular company and this will require a little research on your possible new employers. This will help to endear you to the company and will show your determination to be considered for the role.

The next paragraph needs to be cleverly put together in order to highlight your experience and qualifications without going into too much detail. The best thing to do is mention a number of years experience, mention one or two well regarded companies you have worked for and also mention your best two qualifications. Finalise your Cover letter by saying again how much you would like the opportunity to work for this company and I would suggest naming a time whereby you will call to enquire about the progress of your application.

Your resume needs to be very experience and qualification heavy. Try to avoid the temptation of giving too much information about anything that is not extremely relevant to your application. Someone who is employing an electrical member of staff is probably not too concerned with what they excelled in when they studied History at school!

Start off with an objective which clearly outlines your ambitions for your next career role. Make sure that this makes sense in conjunction with the job role of your prospective position.

Your Electrical Resume then needs a very detailed section about your professional experience. Here you should focus most of your attention on any roles in the last five years. Highlight any career progression by spelling out your heightened responsibilities.

The next section should focus on your education. This can include your original training for your electrical, but before this it should include your up to date certificates and training courses you have attended whilst already being qualified. This shows that you take the industry seriously and that you are passionate about keeping up to date with modern legislation.

Your final section can give information about your achievements outside of work. This can include any teams you are a part of, or any groups within your community which you are involved with. This helps to give someone a bit more insight into your personality and it also highlights your ability to work with other people also shows that you have a sociable nature.

Sample Electronics Resumes

Working in the electronics trade means that you will have specialised in the subject and will more than likely have a degree or similar qualification in electronics. It is essential that this is highlighted within your Electronics resume, as well as any professional experience you have. If you started out as a trainee without formal training, it is important that you provide some indication of on the job training and any forms of certification that you have.

The first thing you need to produce when applying for a position is an Electronic cover letter. Your cover letter should mention which exact position you would like to apply for, where you heard about the vacancy, and why you would like to join this particular company. For this you ought to do some research into the company which you are applying to. This will help to show that you are able to carry out basic research and that you have some respect for the company. When it comes to producing your Electronic cover letter – flattery will get you everywhere!

Your next paragraph needs to convey why you think you are the right person for the job. This is not necessarily an easy thing to do, because as an electronics expert, you will have an awful lot of specialist knowledge that will be hard to condense into a relatively short paragraph. The trick is to just mention in passing your experience, knowledge and qualifications, and indicate that there is more information about such in your Electronics Resume. Your resume is really the main course of your application, and the bulk of the information about your expertise should be contained here.

Start your Electronics Resume with an objective statement which indicates where your career is going, and try hard to reflect the job description of the job you are applying for, in your objective.

Following this section, your Electronics Resume should have a very detailed section on your qualifications and areas of expertise. Here you should focus on any qualifications or certificates obtained since your degree course, you should also expand upon your degree course, and you should also mention any areas of electronics in which you specialise. If you are a software specialist then you should focus on this and talk more about your certificates relating to this.

The next section of your Electronics Resume should show all of your professional experiences within the industry. This should run in reverse chronological order and you should attribute more information for your most recent positions. Be sure to explain all of your duties in each position so that you can show how many different duties you are able to undertake for your new employers.

Once again it is worth reiterating the importance of showing all of your qualifications and certificates in your Electronics resume. It is a competitive field and you need to make the most of any advantage you have over the rest of the field.

Sample Education Resumes

An Education resume is quite a specialised thing. You need to give a bit more detail than for other jobs and your experience needs to take centre stage. As with all applications your Education Resume needs to be accompanied by a cover letter.

Your Education cover letter should be a friendly and professional introduction for your Resume. You can start your cover letter by confirming which position you wish to apply for, and you should also explain where you heard about the availability. You should also do some research on the school or institution you are hoping to join and use this information to explain why you would like to join them. You can talk about their great record if they have one, and if their educational record is not so good then you can indicate that you would love the opportunity to be able to help the institution to push their way back to a better position.

Next up in your Education cover letter you need to explain why you think you should be the person to be awarded the vacant position. This is a chance to talk about your schooling experience or your teacher training you will have undertaken . Try not to go into too much depth about this, because you should have an abundance of information about your professional experience and education in your Education Resume. Make sure you can read your work back to yourself and say to yourself, ‘Yes, this is me, and I would want to employ myself!’ You must display a great working history, in detail, and a great character so the company you are applying to knows that it can trust you with their work in the future.
